Benefits and improvements achieved
Project overview
TÜV Süd is one of the three major technical testing organizations in Germany. Given the customer's extensive business activities in Germany and Europe, it is very important that the data storage is based on the latest and most secure technical solutions. The customer has so far relied on proven Microsoft technologies, in particular SharePoint 2016, to maintain control over the data.
What was the trigger for the project?
With Microsoft ending support for SharePoint 2016 at the end of 2023, a project was launched to migrate all customer data to the latest SharePoint version. The aim was to transfer the data before the end of support, creating a smooth transition for the customer's employees and avoiding downtime.
How did the project go?
Workshops
In several structured workshops, the client's project team worked together to develop the best strategy, examined the challenges and opportunities of the new SharePoint versions and provided training for end users to help them find their way around the new environment.
Migration
A customized tool based on .Net Core in combination with Share Gate was developed for the migration in order to meet all customer requirements. This tool is designed in such a way that it can also be used and expanded by the customer for future developments.
The migration took place in two phases: The first phase was a complete migration of all current data, which took place in the background without the knowledge of the employees. In the second phase, the employees were informed and only the latest data changes (the delta) were transferred to enable the employees to continue their work in the new environment immediately.
Challenges
Security
As this is one of the major testing organizations, high security standards were required for the migration and data processing when migrating the data.
Migration to two different environments
It was necessary to transfer data to two different systems at the same time to ensure that the particularly sensitive data met the necessary high security requirements.
Time pressure
Our project team was faced with the task of completing the data transfer to the new systems before the end of the project, as the previous system would then only receive limited support from Microsoft.
Solutions
Security
The development and hosting of the specially developed migration tool and its database took place entirely within the customer's technical infrastructure in order to avoid data transfer to third parties.
Migration to two different environments
After the data was carefully checked and sorted according to its security classification, we transferred it to SharePoint Online and SharePoint 2019 On-Premise.
Time pressure
Agile development and project management helped us to keep to the schedule and enabled us to implement unexpected changes and special requirements.
Results
The project ended in good time before the end of support for the old system, and new structures were created that offer users more options in data management.
A large collection of websites with almost 60 different areas and over 3,600 subpages, most of which had different access rights, was successfully transferred to a new environment.
TÜV Süd is now at the cutting edge of technology and safety and is therefore well equipped for the future.
At the customer's request, the migration tool was adapted so that trained employees can read and manage Microsoft user groups themselves.
The specially developed environment was handed over to the customer so that he can use it independently for future projects.
